Privacy Notice
How SOFF Overseas Cricket Club handles the information you give us.
Pre-launch draft. This notice describes SOFF OCC’s intended practice and is being reviewed by qualified advisers before bookings and payments open. The final version will be published before any payment is taken, and will govern from that date.
Who we are
SOFF Overseas Cricket Club (“SOFF OCC”, “we”, “us”) organizes cricket fixtures in Sri Lanka for overseas-based players. SOFF OCC is a SOFF Global initiative. You can contact us at cricket@soffcricket.com or on +1 (647) 805-9559.
What we collect
We collect only what is reasonably required to run an account, match a player to suitable cricket, operate a fixture safely, take a booking and communicate with you.
- Identity and contact: name, preferred name, date of birth or age confirmation, country, city, email, mobile or WhatsApp number, emergency contact.
- Cricket profile: batting, bowling and wicketkeeping levels and styles, club or league, usual role, playing frequency, preferred formats, playing history and any video link you choose to share.
- Travel context: expected dates in Sri Lanka, usual base or accommodation area, willingness to travel to outstation grounds, transport needs.
- Participation information: injury, health or accessibility information relevant to safe participation, acknowledgements and consents, communication preferences.
- Booking and payment records: fixtures requested or booked, amounts paid, the terms and policy version that applied, and any benefit applied.
- Enquiries: what you send us through a form, by email or over WhatsApp.
What we do not ask for
We do not request a passport copy merely to create a Player Account, and we do not ask for identity or travel documents at the enquiry stage. Additional documents are collected only where a clearly defined service, legal requirement or risk control makes them necessary, and we tell you why at the time.
Why we use it
- to create and verify your Player Account;
- to assess whether a fixture is a suitable and safe standard for you;
- to balance teams and allocate roles;
- to take and record bookings and payments;
- to send fixture status changes, confirmations and match briefings;
- to respond to an enquiry;
- to send newsletters where you have asked for them, and to apply an eligible benefit; and
- to meet legal, safety, insurance and accounting obligations.
Health and emergency information
Injury, medical and emergency-contact details are held with restricted access and used only for participation safety and emergency response.
Who we share it with
We share only what a recipient needs for the fixture or service in question:
- grounds, clubs, opposition organizers and match officials, for team lists and match operations;
- transport, accommodation and other suppliers, where you have purchased that service;
- payment providers, for taking and reconciling a payment;
- service providers that host our systems and send our email; and
- advisers, insurers or authorities where we are required or permitted by law.
We do not sell personal information.
International transfers
SOFF OCC operates in Sri Lanka and communicates with players who live elsewhere, so your information may be processed in more than one country. We take reasonable steps to protect it wherever it is handled.
How long we keep it
- Interest registrations: up to 24 months from registration, or until you ask us to remove them.
- Player Accounts: while the account is active, and for a reasonable period afterwards.
- Booking, payment and waiver records: for the period required for accounting, insurance and legal purposes.
- Newsletter subscriptions: until you unsubscribe, plus the record needed to administer a benefit already earned.
Your choices
You can ask us to access, correct, update or delete your information, withdraw a consent, or stop marketing messages at any time. Write to cricket@soffcricket.com. Unsubscribing stops future promotional communication but does not erase a benefit already earned, subject to the published terms.
Cookies
This website uses no advertising cookies and no third-party analytics or tracking scripts. Pages are served as static files from Firebase Hosting, which keeps standard server request logs for security and operational purposes. Your browser may store small preferences locally; these never leave your device.
Security
We limit access to personal information to the people who need it, and we hold health, emergency and payment information with tighter restrictions. No system is perfectly secure, so please tell us promptly if you believe your account details have been exposed.
Children
The normal adult programme is not open to players under 18. Any junior programme will be run under a separately approved safeguarding policy with guardian consent, and will have its own privacy wording.
Complaints
If you are unhappy with how we have handled your information, write to cricket@soffcricket.com. We will acknowledge, investigate and respond. You may also contact the relevant data protection authority in your country.
Changes
We will publish any change on this page. Where a change is material to a booking, we will also tell booked players directly.
